The result: Conversion rates were more than eight times higher when initial contact was made within the first five minutes than when a response came after five minutes. “That doesn’t mean that speed alone generates eight times as many deals,” concludes Florian Horbach, Managing Director of Zeeg GmbH, based on the figures. “But it does show that the likelihood of successfully nurturing a lead changes significantly within the first few minutes.”

The Phone Exacerbates the Bottleneck

Why can a few minutes make such a difference?

“Because the impulse to buy always arises in a specific context,”

says Horbach. The need is present, attention is high, and the willingness to engage with providers is there. A quick response captures exactly this moment. A delayed response, on the other hand, may encounter other priorities, a competitor who has already been contacted, or a prospect who has put the matter on hold. Speed becomes particularly relevant with incoming phone calls. A phone call is already a strong buying signal: the prospect has taken the initiative themselves and actively sought communication. If no one answers, friction arises immediately. The caller must wait, call again, or hope for a callback. “For traditional sales teams, this is a structural problem,” says the expert in innovative AI solutions. “People can’t be available around the clock. They’re in meetings with clients, conducting other calls, or following up on existing leads. So, on the one hand, companies invest in marketing and lead generation, but on the other hand, they risk losing some of the interest they’ve generated due to delayed responses.”

Human sales time becomes more valuable

The efficiency gains come from a clear division of labor. AI handles standardizable initial contacts, data collection, and pre-qualification. Sales representatives can then focus on tasks where human skills are crucial: advising, negotiating, addressing complex objections, and building relationships. A benchmark study published in 2025 from the DACH B2B industrial sector demonstrates just how significant the impact of a quick response can be. Top performers responded to lead inquiries within 2.4 hours on average, while the industry average was 17.2 hours. According to the study, the probability of conversion dropped by 35 percent after four hours without a response and by up to 78 percent after 24 hours. “The results do not prove causality, but they clearly show that increasing wait times make it more difficult to convert existing buying interest into a successful sales process,” explains the Zeeg CEO.

Competition Begins Before the Sales Call

The crucial question, therefore, is not just how well a salesperson sells, but how quickly they can respond to a buying signal in the first place. Speed does not replace a good product or compelling advice.
